How Does Notion AI Compare to Competitors?

vs Obsidian

Notion AI is positioned as the complete workspace for teams with AI integration, while Obsidian is positioned as a local-first, individual, privacy-focused note taking solution. Notion is best suited for collaborative teams and databases; Obsidian is best suited for graph based knowledge linking and off-line capabilities. Notion AI has LLMs natively integrated; Obsidian uses the plugin ecosystem.

If your team wants to implement an AI assisted workflow and/or project management system, you should select Notion AI. On the other hand, if you want to provide your employees with the ability to develop and think interconnectively, while maintaining their right to privacy, then you should select Obsidian.

vs Evernote

Both are note taking solutions, however Notion AI has grown into a full featured workspace including databases, project management, and native AI capabilities. Evernote is still a simple, streamlined way to capture and organize notes. While Notion offers a great deal of versatility, its also has a much steeper learning curve. Evernote is much easier to use but will fall short when trying to implement more complex workflows.

If you are a power user who wants to implement workflow automation and AI assisted workflow automation, you should select Notion AI. On the other hand, if you are simply looking for a product where you can enter notes and archive them, you should select Evernote.

vs Confluence

Confluence is primarily for team documentation and knowledge bases (priced at $65/mo +) and Notion AI is for documentation, project management, databases, and AI (at $20/mo). Confluence provides more robust enterprise features, but has less flexibility than Notion. Notion provides more affordability and is a more comprehensive solution.

If your mid-market business is seeking to integrate a workspace application where all of the different components of the workspace can be accessed through a single interface, you should consider selecting Notion AI. On the other hand, if you are a large enterprise with documentation requirements that exceed those of most businesses, you should consider selecting Confluence.

vs Traditional AI Tools (ChatGPT, Claude)

Notion AI has several embedded LLMs (GPT-4.1 & Claude 3.7) directly in a user’s workspace; there are no “context switches” when using these AI tools. Stand-alone AI applications have no knowledge of the context of the user’s workspace. The advantage to Notion is that it integrates seamlessly with both the user’s data and the other applications they are working with. However, the major disadvantage to this seamless integration is that the user will be charged a premium for using the AI capabilities within their workspace as well as the price of the application.

If you need to implement an integrated, context aware workflow solution for your business, you should consider selecting Notion AI. On the other hand, if you require a general purpose AI solution or if you need to conduct research and programming, you may want to select a stand-alone AI solution.

What are the strengths and limitations of Notion AI?

Pros

  • Notion AI allows for deep AI integration into the workspace. Users do not experience any context switching when transitioning between the workspace and ChatGPT. This solution utilizes the GPT-4.1 and Claude 3.7 models at the same time.
  • A significant advantage to Notion AI is that it is an all-in-one platform. This means that users can store their notes, utilize databases, manage projects, maintain a customer relationship management (CRM) database, manage their calendar, send and receive emails, and interact with AI within a single interface.
  • Notion AI offers a generous free tier for individual users. For example, unlimited storage is available to individual users that qualify under the student email eligibility category, making it a great option for students and for individuals that are just starting to use AI and are looking to try it out before committing to a paid version.
  • One of the most flexible database solutions available today is offered by Notion AI. Relational databases are very powerful and offer many custom properties, filters, and automations. Additionally, Notion AI’s AI powered autofill feature makes entering data much faster and easier than traditional methods.
  • A strong advantage to using Notion AI for team collaboration is that it offers granular permissions, guest access, private teamspaces, commenting, and mentioning capabilities.
  • The AI Agent capabilities of Notion AI allow the AI Agent to create and edit pages, databases, and charts independently based upon the context provided by the user’s workspace and connected applications.
  • Another advantage to using Notion AI is that it offers enterprise features at a mid-market price point. Features such as Single Sign-On (SSO), audit logs, SCIM provisioning, and compliance (SOC 2, GDPR) are included in the Business plan ($20/user/month) and can also be used by smaller enterprises that do not meet the definition of a large enterprise.

Cons

  • Finally, the biggest disadvantage to using Notion AI is that access to its AI capabilities is locked behind pay walls. Only Free and Plus users have access to 20 one-time AI responses. Full AI capabilities can only be unlocked by purchasing the Business plan ($20/user/month).
  • The steep learning curve of Notion means it has a lot of power but is often overwhelming to new users; thus, there is a need for an investment of time by the user to learn about databases, relationships and automation.
  • The cost of using Notion for larger teams can add up quickly; a $20 per user, per month price tag means that a 50 person team would pay $1,200 per month; also, as of this date (July 7th, 2022) there are no discounts provided by Notion for larger volumes of users.
  • Notion can be slower as the size of the database or complexity of the workspace increases; therefore, it can become more of a heavy application when compared to the lighter weight applications.
  • Many pages within Notion have limited offline capabilities; specifically, only a few select pages will auto-download while working off-line; otherwise, Notion is primarily a web-based application and provides very little offline capabilities.
  • Notion does not provide an ability for its users to create an artificial intelligence based database formula; instead, users must manually set-up their own formula in the case of complex use cases.
  • There are data retention limitations in place for Notion's Business level; 30 days of data retention are available at the Business level; at the Enterprise level, data is retained indefinitely (in other words, not retained at all); however, these data retention levels may not meet the compliance requirements of many organizations.
  • The vendor lock-in risks associated with using Notion are significant; since Notion is an "all-in-one" type of application, it is likely to be very difficult to switch to another application; although export options are available, migrating from one application to another is generally a very complex process.
  • The ability to pull real-time CRM or e-commerce data into Notion is not currently supported; in other words, Notion users cannot establish a connection to live external systems to pull real-time data.

Who Is Notion AI Best For?

Best For

  • Product and project management teamsNotion combines task tracking, databases, timelines and AI-powered insights into a single workspace; Notion also offers integration with other popular applications including Asana, GitHub and Jira.
  • Content creators and marketing teamsIn addition to being a robust tool for organization, Notion includes several AI-based tools such as an AI-powered writing assistant, meeting note transcriptions, content generation and collaborative editing; Notion also includes a feature called Research Mode which is designed to enable users to conduct deeper analyses of their content.
  • Mid-size companies (20-200 employees)Notion appears to offer a strong value proposition in terms of the cost-to-feature ratio; at a price of $20 per user per month, the features offered by Notion include Enterprise Search, AI and collaboration features; in the opinion of the author, this is a reasonable price to pay for these features.
  • Knowledge management and internal wikisOne of the key strengths of Notion is the way in which the database structure enables users to organize their institutional knowledge; in addition, the AI-powered search and summarization capabilities within Notion make it easy for users to find and summarize relevant information across the entire workspace.
  • Teams using multiple SaaS toolsOne of the most interesting features of Notion is its ability to integrate with a wide variety of third-party applications including Slack, Google Drive, GitHub, Jira, Microsoft Teams, and SharePoint; in fact, Notion is capable of connecting to all of the most popular productivity and collaboration applications and enabling users to consolidate the information they store in those applications into a single location.
  • Students and educatorsA free version of Notion called Notion Plus is available to anyone who uses their school email address; the free version of Notion includes unlimited storage, guest access, and the ability to upload files without restriction.

Not Suitable For

  • Privacy-first individuals and teamsAs of today, Notion is cloud-based and does not offer a local first alternative; therefore, if you want to use Notion, your data will be stored on Notion's servers; if you prefer to keep your data local, you should consider using an application like Obsidian with encrypted sync or LogSeq, which both support local-first operation.
  • Solopreneurs and very small teams on strict budgetsThe AI add-on has limited access at the free tier (only 20 responses). It is unlikely you can use it as a daily tool. Consider using Obsidian for free or low-cost stand-alone tools such as Notion alternatives.
  • Teams requiring real-time external data integrationCannot obtain live data directly from CRMs, e-commerce platforms, or ERPs in real time; only accepts static data. Consider Zapier, Make, or native CRM solutions.
  • Enterprise companies with strict compliance (HIPAA, FedRAMP)Certified SOC 2 compliant, but awaiting HIPAA compliance; not certified FedRAMP compliant; may not be compliant with all data retention policies. Consider on-premise Sharepoint, Confluence or other specialized tools.
  • Teams needing minimal setup and straightforward note-takingOverkill complexity; not worth the learning curve. Consider using Evernote, Apple Notes, or OneNote for simple note taking.

What Are Common Questions About Notion AI?

Notion AI is an integrated AI assistant available on Business and Enterprise plans, which provides a full range of capabilities including document generation, database auto-fills, transcription of meeting notes, research integration, and powering an Agent feature for complex multi-step tasks. It utilizes multiple LLM models including GPT-4.1 and Claude 3.7 Sonnet with no data retained by Enterprise customers.

On May 13, 2025, Notion stopped providing the standalone AI add-on for new users. Now, AI features are included on Business ($20/user/month), and Enterprise plans only. Users who were previously subscribing to the AI add-on can continue to do so, however new Plus plan users are entitled to a trial version of AI.

Notion follows standard data protection procedures with data stored securely and privately. Your data will only be used to train Notion AI models if you choose to allow this. Zero data retention is provided to Enterprise customers, meaning after processing, AI providers will not store data. All AI subprocessors also have contractual agreements that prohibit using customer data for training AI models.

A key differentiator for Notion is that it is a workplace platform which combines all your work tools into one single product — including Notes, Databases, Calendars, Email and integrated AI. Obsidian is a Local-First Note Taking product, whereas Evernote is simply a Product for capturing Simple Notes. Notions' primary advantage is as a Team Collaboration Tool & Complex Database Organization Tool. Obsidian has a better fit for Personal Knowledge Management, and Evernote is easier to use than Notion, but is much less flexible.

Yes, Notion has both a REST API to enable developers to build their own custom Integrations, Webhooks to enable Real-Time updates, and also Built-In Connections to a variety of third-party tools such as Slack, Google Drive, GitHub, Jira, Asana, Microsoft Teams and Zapier. Developers may be able to create Internal Integrations, or Build Public Integrations using the Developer Platform.

Notion offers a Free Plan ($0, Limited Features) , Plus ($10/User/Month With Trial AI Access Only), Business ($20/User/Month With Full AI Access), and an Enterprise Version (Custom Pricing). Each Paid Plan includes Unlimited Storage and Collaboration. Students who sign-up for Notion using a School Email will receive the Plus Plan for free. Users can take advantage of discounted annual billing vs. monthly billing.

Yes, all Plans begin with a Free version, and the Plus and Business versions include some trial AI capability. No Credit Card is required to try out the Free Version of Notion. The Enterprise Version requires contacting Sales for a trial.

Yes, Notion provides SAML SSO, Audit Logs, SCIM User Provisioning, and Compliance Integrations for Data Loss Prevention and Security Information and Event Management Tools. Enterprise Customers have additional security controls available, including Domain Management, and may require HIPAA Compliance capabilities for Regulated Industries.

Yes, you can Cancel At Any Time. Monthly Subscriptions will End At The Next Billing Cycle with no penalties. Annual Subscriptions are generally Non-Refundable, but if canceled within 3 Days (Monthly) or 30 Days (Annual) of signing up, you will receive a Full Refund. EU and UK customers have a 14-Day refund right.

Notion AI is only included with Business and Enterprise plans. There have been reports from users of some lag in performance due to the amount of information stored on an individual page. As well as the possibility of performance issues with pages containing large amounts of data there are also Fair Usage Policies applied to the use of AI capabilities by Notion which can cause limitations to be temporarily placed upon heavy users. Additionally, users on the Plus plan will have very limited trial access to AI capabilities, but will have very limited functionality when they do.

Is Notion AI Worth It?

Notion AI offers a comprehensive workspace solution by combining productivity tools, databases, and AI capabilities into a single platform. With the 2025 pricing restructuring Notion AI has bundled its AI capabilities into the Business and Enterprise plans giving mid-market and enterprise teams a powerful value proposition to combine their multiple tools into a single platform. However, the AI-first position taken by Notion and the requirement to have a Business plan to fully utilize the AI capabilities may limit Notion’s appeal to budget-conscious teams or teams simply looking for a simple note-taking experience.

Recommended For

  • Mid-market and enterprise teams wishing to consolidate all of their workspace, project management, and AI capabilities into a single platform.
  • Organizations with 10+ SaaS applications without budget to integrate them — Notion’s API and integrations help reduce tool sprawl.
  • Teams with advanced database and collaboration requirements beyond basic note-taking.
  • Companies that require compliance features such as HIPAA, SOC 2, SAML SSO, and audit logs.
  • Businesses that want AI-driven workflows without having to build out custom solutions.

!
Use With Caution

  • Budget-constrained teams — The Business plan at $20 per user monthly is required for full AI access; The Plus plan AI is limited to a trial only.
  • Teams with real-time performance requirements on data-heavy pages — Users report performance issues with pages containing large databases.
  • Organizations with highly specialized compliance needs — Verify the relevant HIPAA and other certification requirements apply to your use case.
  • Solo users or small teams looking for simple note-taking — Obsidian and Evernote are often less expensive and easier to implement.
  • Regulated industries — Evaluate your data residency and compliance requirements carefully prior to adopting a new technology.

Not Recommended For

  • Companies and individuals that are budget-weak or small – the free version will be very limited in its features, while the paid versions can grow quickly in relation to how many people are on the team.
  • Businesses that require a "local first" or "offline only" solution — Notion is a cloud-based application and has very little in terms of offline capabilities.
  • Teams that require guaranteed sub-second response times — There have been acknowledged latency problems with the AI features when used by larger teams.
  • Only on premise deployments — Notion is SaaS only and does not provide an on premise installation option.
Expert's Conclusion

Notion’s AI is best suited for mid-market and enterprise teams that want to use AI in their workspace and are willing to spend money to do so — but check that the Business pricing tier is within your budget based upon your employee count and test performance prior to complete rollout using data-intensive workloads.

Best For
Mid-market and enterprise teams wishing to consolidate all of their workspace, project management, and AI capabilities into a single platform.Organizations with 10+ SaaS applications without budget to integrate them — Notion’s API and integrations help reduce tool sprawl.Teams with advanced database and collaboration requirements beyond basic note-taking.

Ongoing product development — Major pricing restructuring occurred in May 2025; Possible future pricing or feature updates may occur.
!
AI Performance at Scale — User reported latency in the application, especially on heavy data pages, where AI is enabled.
!
Market competition — Very competitive market space with products such as Obsidian (local-first), Microsoft OneNote (Office integration), and Asana/Monday (project management).
!
Cost of AI First Features — Business plan required to gain full access to AI features increases the cost of adoption for cost-sensitive customer bases.
!
AI data residency issues -- while there is no data retention for Enterprise, many users will still need to have an option for on premise or private cloud -- currently unavailable

What Additional Information Is Available for Notion AI?

Notion AI Features & Capabilities

Notion AI has features including chat and document creation, database auto fill, meeting note transcription with summaries, research mode that allows for synthesis of information across your entire workspace and web, and an Agent feature that can autonomously complete multi-step tasks. Enterprise Search allows you to query all platforms (Slack, GitHub, Teams, SharePoint, and OneDrive). We also offer advanced connectors including Microsoft Teams, SharePoint, OneDrive, Gmail, and Linear. Data retention varies: 30 days for Plus/Business, zero data retention for Enterprise.

Notion Expanded Products

Beyond the core workspace, Notion provides Notion Calendar for managing multiple calendars and blocking off time in your calendar. We also provide Notion Mail as an AI powered inbox that syncs with Gmail and provides a way to manage emails personally and with ease. All of these products work together within the Notion Ecosystem and are accessible at all price levels.

Community & Developer Support

Notion has a large developer community where we provide a forum, a public API developer portal and hold regular office hours with our development teams. The Notion Academy provides free training and paid certification programs for developers who wish to gain skills. Additionally, Certified consultants are available for hire to assist with customized set-up and optimization.

Enterprise & Security Features

Enterprise includes a dedicated Customer Success Manager, enterprise security controls, SCIM user provisioning, audit logs with admin content search, workspace consolidation, domain management and integration with DLP and SIEM tools. Upon request, Notion also has HIPAA compliant capabilities. In addition to this, enterprise-level security restrictions allow administrators to control permissions for workspaces so that employees cannot share externally, nor invite guests into their workspace.

Student & Educational Pricing

Students and Educators can get the Plus Plan (which limits them to 1 member) for free when they sign up using a school email address. This provides more guest seats than the free plan, extends the version history and increases the size of files that can be uploaded compared to the free plan. Over 1000 school email domains qualify for this promotion, and it is not limited to .edu domains.

Recent Awards & Recognition

Notion has been recognized by the industry through its consistent inclusion in rankings of productivity tools, high ratings from G2 (4.6/5), and positive reviews from technology media. As such, it is now widely accepted as a standard tool for remote-first and collaborative organizations across the globe.

Data Migration & Export

Notion offers a wide variety of export options, including exporting the entire workspace as HTML, Markdown, and CSV formats, and also exports documents as PDF for compliance and backup purposes. These features are designed to provide data portability and to assist in business continuity planning for organizations that are either evaluating whether to adopt Notion or migrate their existing workspace.

What Are the Best Alternatives to Notion AI?

  • Obsidian: A local first note-taking platform with strong linking capabilities and offline functionality. Free for personal use with optional Obsidian Sync ($8/month) and Publish ($12/month) features. Designed for individuals and writers who prioritize both their own privacy and ownership of their content; however, Notion does include real-time collaboration and integrated artificial intelligence features which Obsidian does not have. Also designed for knowledge management, but does so without relying on the cloud. (obsidian.md)
  • Microsoft OneNote / Microsoft 365: A cloud-based note-taking application that is deeply integrated into the Microsoft Office Ecosystem. Offered for free if you utilize OneDrive, or through a Microsoft 365 subscription (personal prices range from $10-$12 per month, business pricing ranges from $6-$9 per month). Notion offers more robust database functionality, while OneNote offers tighter integration with other applications within the Office Suite. Therefore, best suited for Microsoft-centric organizations or those users simply need to capture notes quickly and easily. (microsoft.com/onenote)
  • Asana: A work management platform specifically optimized for project tracking and team workflow management. Offers a free version, with premium priced at $10.99/user/month, and business priced at $24.99/user/month. While Notion offers a much more general-purpose workspace, Asana is better suited for organizations that place a higher priority on managing tasks and timelines. (asana.com)
  • Monday.com: A visual work operating system that allows users to customize boards, timelines, and automation to meet specific needs. Priced starting at $9/user/month. Similar to Notion in terms of consolidating multiple workspaces into one location; however, Monday.com has a greater focus on visual project management, and less on artificial intelligence features and document collaboration. Additionally, Monday.com is ideal for organizations that require customized visual workflows to manage operations and/or creative processes. (monday.com)
  • Confluence (Atlassian): A documentation and wiki platform designed for tech teams. Priced in cloud form for $5 to $25 per user/month based on tier. Great for creating a technical documentation and wiki-style knowledgebase, however lacks Notions ability to create a database and use AI. Best for tech teams that are already using Jira. (atlassian.com/software/confluence)
  • Evernote: A simple, easy-to-use note-taking and clipping tool. The free version has limitations; premium is $12.99/month or $129.99/yr. Less complex than Notion and has less team collaboration and customization options, yet more intuitive for casual users of a note-taking application. Does not have an integrated AI or advanced database features. Best for individuals or teams wanting basic note-capture functionality. (evernote.com)
